Case Study - All In Property Services

In September of 2006 All In property Services Ltd were experiencing slow access across their network and approached Syscom to investigate what was causing the problems.

Syscom analysed their current usage and IT infrastructure and resolved the slow running by a mixture of new hardware, software and re configuration of their network. We have been their IT Department ever since, overseeing their fast expansion to multiple servers, doubling the number of PC’s and users. Setting up remote access communications to branch offices and supporting older legacy software on Unix/Linux based systems.

Their systems now comprise of Microsoft Windows 2003 SBS Software running on a Hewlett Packard ML350 Quad Core Xeon Server which provides the Firewall Exchange email, anti virus and system security. A HP file and Print Server running Windows 2003 which includes Symantec Backup Exec and tape drives capable of backing up their entire data portfolio of properties. Another windows 2003 server which runs Lightspeed allowing them to monitor and control their network providing Data security, Anti Spam protection, Enterprise reporting, Web Content Filtering and an email journal. A fourth server is an old Legacy Linux sever running the companies invaluable property management software one day to be replaced but currently supported and maintained by Syscom.

Current projects involve the setting up of a Disaster Recovery Centre to ensure should the worse happen such as a fire, All In staff will be able to move to their DR Centre and continue their work without letting down clients who rely on them to provide the property management services they are contracted for.


Case Study – Publicana Ltd

Publicana manage public houses on behalf of breweries. They were currently managing 20 Pubs but were expanding to managing 100+ pubs.

In 2008 Publicana approached Syscom to help with building their IT infrastructure amid large growth. Syscom analysed the current IT infrastructure, investigated the current and future requirements and began putting into process an upgrade path from a few PC’s to a Full IT Network including Windows Server, Firewall, Microsoft Office Exchange Email system, Anti Spam, Anti Virus, Remote access and Remote emails.

Additionally we were tasked with providing a Software solution which would take their current unstructured manual processes and develop a Structured Software Solution which would put the information regarding every Pub they managed instantly at their fingertips. On top of all this Publicana was in the process of moving to custom built offices and therefore need our cabling and networking services to ensure the new offices had the necessary network, telephone and power points located in the correct positions for desk placements. They also needed a Communications and Server cabinet installing and configuring.

Publicana are now resident in their new offices, The new IT infrastructure along with the software we have developed allows them to manage 150 pubs and nearly 600 staff all over the country and with more breweries joining them all the time they have ample capacity for the it infrastructure and Software to cope.

The Software

The software runs on a MS SQL Server and is written in .NET. It provides all the information to allow the ring around staff to phone each of their assigned pubs and ask the manager their bankings, weekly takings and expenditure. Banking figures are automatically checked against bank statements which are imported from the web and confirmed as being correct or otherwise.

This information is then automatically collated each month to provide a profit and loss statement for each pub. Additional information is kept on each pub such as equipment hire details, Staff wages, Utility Bills, Office Costs and Stocktaking reports. All of the information is available on the web to Area Managers who are then able to set budgets and check costs. Invoices for Publicana’s costs for each pub are automatically generated and printed for their corresponding breweries. The amounts are automatically sent into Sage Line 50 accounts to their relevant nominal accounts. Sage Payroll is used to pay the staff. The monthly amounts are imported into the database to be collated into the Profit & Loss report.

The Future

Syscom continue to work hand in hand with Publicana improving the software and resolving hardware communications and software issues. This is all provided via our Maintenance Services. Using Syscom as their IT department saves considerably on employing their own IT department.


Case Study – Universal Products Ltd.

Universal Products based in Kirkham first approached Syscom regarding support and maintenance in 1997, 12 years ago and as so many of our customers do have never had the need to go elsewhere.

In that time their I.T needs have grown exponentially and Syscom has been there to provide consultancy and support of new solutions and products. In the early years the I.T infrastructure consisted of Unix Servers and dumb terminals with the odd pc. Now we have Multiple windows servers running on Hewlett Packard Quad Core Xeon Servers with approximately 100 PC’s.

We have installed MS Exchange Servers, SQL Solutions, Firewalls, Disaster Recovery Servers, Fax via Email Solutions, Staff time recording systems, Remote office communications. We have upgraded systems from Windows NT to Windows 2000 and then again to Windows 2003. We have Decommissioned Unix servers and windows servers ensuring uptime is the priority, working evenings and weekends where appropriate.

We have built a rapport with Universal staff and managers and Syscom IT support is considered Universals I.T Department.
